    Facility Rentals

    Centrally located in Victoria, Oaklands Community Centre has ample free street parking and is on the #4, 27, 28 bus route. Our facility features two fully equipped venues capable of accommodating events for either 100 or 50 individuals, and if desired, these spaces can be combined to accommodate up to 150 people. Additional smaller spaces are also available to rent at Oaklands Neighbourhood House.

     

    Rooms available for rent at Oaklands Community Centre include:


    OSC Room:

    • Size: 1300 sq. ft.
    • Capacity: Up to 100 people
    • Rate: $70/hour
    • Features: Includes a large kitchen facility with a pass-through opening and two washrooms.

    Com Rec Room:

    • Size: 1160 sq. ft.
    • Capacity: Up to 50 people
    • Rate: $55/hour
    • Features: Offers an outdoor courtyard, wheelchair accessibility, and two washrooms.

    Full Centre:

    • Size: 2460 sq. ft.
    • Capacity: Up to 150 people
    • Rate: $125/hour
    • Features: Provides a spacious kitchen and four washrooms.


     

    Only a couple of blocks away from our Community Centre is the Oaklands Neighbourhood House. We have two smaller rooms available for rent at this location:


    Red Room:

    • Capacity: Up to 20 people
    • Rate: $40/hour

    Green Room:

    • Capacity: Up to 40 people
    • Rate: $45/hour

     

    All facility rentals include:

    • High-speed internet access
    • On-site facility staff
    • Bluetooth Soundsystem
    • Free street parking
    • Chairs and adjustable tables
    • Access to a projector screen
    • Change tables
    • Kid-sized chairs
    • Whiteboards


    Notes:

    • All rentals require a non-refundable $50 deposit at the time of booking. (This fee will be counted towards the total bill when full rental payment is made).
    • A $100 damage deposit is required for all rentals and will be returned in full to the payee after the event, as long as the space is returned to its previous condition.*
    • Additional fees may be charged for large group and late night (past 10pm) rentals Special rates may be available for groups with certified Non-profit designations


    *Other reasons to withhold the damage deposit include but are not limited to additional cleaning required by OCA, use of space in excess of time agreed in the rental contract. 


    We will review your request and follow-up with you to complete the rental application and agreement. All new booking requests received will be based on availability.

    Oaklands Facility Rental Guide

    To rent a room at the Oaklands Community Association, follow this simple six-step process.  


    Step 1. Take a moment to review all the rental information available on our website, including our Frequently Asked Questions section.

    Step 2. Contact our Programs and Rental Manager at programs@oaklandsca.com or call 250-370-9101 ext. 3 to check if the desired time and room are available for rent. 

    Step 3. Visit our website at oca.recdesk.com and create a registration profile. This will streamline the rental process and allow us to better assist you. You can find more information on creating your customer account HERE.

    Step 4. Download and fill out our Rental Request form and Rental Agreement form. Both forms need to be completed and submitted via email to our Programs and Rental Manager at programs@oaklandsca.com in order to rent space in one of our venues. 

    Step 5. Arrange to pay the non-refundable $50 deposit at the time of booking to secure your rental. The remaining rental fee, including the $100 damage deposit, can be paid upfront but must be paid in full at least one week (5 business days) prior to the rental date. Payment options include online, in-person, or over the phone.

    Step 6. Be sure to confirm the amenities you wish to use during your rental and follow up with event insurance and permits when needed. Ensure that Oaklands has a copy of all additional documents required prior to your event.

    Frequently Asked Questions

    Please reach us at programs@oaklandsca.com if you cannot find an answer to your question.

    • A non-refundable $50 fee is required when the booking is made. This fee will be counted towards the total payment for your rental and is not an additional fee. 
    • A $100 security, or damage deposit will be charged in addition to your hourly rental fee, and will be returned to you after the rental is over, as long as no damage is sustained to the space or equipment used. 
    • An hourly fee is charged as well (the amount varies depending on the space that you are using.)
    • Additional charges could include:

                § Late night fee of an additional $10 per hour for rentals that run later than 10pm

                § Rental of our projector for $25


    • A minimum of $50 is required at the time the rental booking is made.
    • The full rental fee including any additional charges can be paid at any time after the booking is made, but must be paid one week prior to the date the rental is occurring. (Failure to pay the fee in full by this time may result in rental cancellation) 
    • You may pay online through our registration system, in person (credit card is preferrable, but cash is also accepted), or with a credit card over the phone 


    • Yes. We require proof of insurance a minimum of 48hrs (2 days) before your event. If you are unable to provide insurance within that time, your rental may be jeopardized.
      Insurance fees range depending on your type of activity, how many attendees are coming, if alcohol is being served, and a variety of other factors. The City of Victoria makes it easy for users of our facility to purchase insurance, contact: Darlene Hammond, Permit Clerk, City of Victoria, dhammond@victoria.ca


    • Yes, Oaklands has up to 18 tables and 100 chairs available for renters to use at no additional cost. 


    • Yes, set up and clean up time must be included in the time you have booked.
    • If you need to add extra time, please contact the Rental Manager before your event to ensure that can be arranged, and please note that an extra fee may be required.
    • If the space is not fully clean by the end of your booking, or you stay past your booked time, a portion or all of your damage deposit may be withheld, and/or additional payments could be required. 


    • The latest we rent the spaces here at Oaklands is midnight. This means that all clean up must be completed by 12am at the latest, so events should finish by 11pm or 11:30pm at the very latest. 
    • There is a noise by-law in place requiring outside noise to be reduced by 10pm, so if a gathering or event runs later than 10pm all guest will need to remain inside the building after that time. 
    • If your rental runs later than 10pm you may be subject to our late-night fee of an additional $10/hour for the 2 hours between 10pm and 12am. 


    • Oaklands has a projector that is available to rent for an additional cost of $25/event
    • Our projector screen and whiteboards may be used free of charge.


    • The following items are available to use when renting/using the kitchen:

                 - Two ovens, a sink and a dish sterilizer (not a dishwasher – dishes need to be washed by hand and then sterilized) 

                 - Plates, glasses, mugs, and cutlery

                 - Coffee maker, carafes, pitchers and a kettle 

                 - Various small kitchen utensils – but it is advisable to bring your own as we cannot guarantee that we will have exactly what you need. 


    • Please be advised that you must include enough time in your rental to wash all dishes and utensils used, sterilize them and put them away. The kitchen needs to be returned to its previous state by the end of your rental time. 


    • Whenever liquor is being sold or served a liquor permit should be obtained with a copy provided to Oaklands prior to your rental. One person at the event must have a “Serving it Right” certificate as well.
    • Special event insurance is required for all rentals where large groups are gathering or risk-taking activities are occurring. Event insurance coverage can be purchased through the City of Victoria. (Darlene Hammond, Permit Clerk, City of Victoria, dhammond@victoria.ca).
    • Please ask that Oaklands Community Centre be listed as the venue and provide a copy prior to your rental as well. 


    • Unfortunately, no. We have fire hazard regulations that indicate that no open flames are allowed in the buildings at any time. 


    • There is plenty of free street parking in the area surrounding our Facilities, but please be mindful not to park in areas marked as residential, or painted with a yellow curb. Unfortunately, parking is not allowed on the Oaklands Elementary School grounds or the paved area in front of the Oaklands Community Centre. You may pull up a vehicle up to the Centre to unload heavy objects for a short term only, and then the vehicle must be moved back to street parking 


    • The Oaklands Community Centre has an automated front door to the building and ground level entry. There is also an accessible washroom in the Comm. Rec room.
